The Challenge
Enterprise knowledge rarely sits in one place.
Policies and procedures may be stored in internal documentation, operational knowledge in separate repositories, and lead or customer information inside a CRM. Answering even a relatively straightforward business question can require employees to search several systems and manually combine the information they find.
Traditional enterprise search still places much of this work on the user. Employees need to know where to search, what keywords to use and which results are relevant.
Conventional RAG-based assistants improve this experience by retrieving relevant content before generating a response. However, more complex business questions may require information from different systems or several retrieval steps.
The requirement was therefore not simply to create another AI-powered enterprise search tool.
KONZE needed to build an enterprise AI knowledge assistant capable of understanding a request, deciding how it should be handled and retrieving context from the appropriate enterprise systems.
The solution also needed to fit into existing employee workflows. Introducing another standalone application would have added friction rather than simplifying access to information.
The KONZE Approach
KONZE developed the solution around an Agentic RAG architecture rather than applying the same retrieval process to every query.
Traditional RAG typically follows a relatively direct workflow:
Search → Retrieve → Generate
Agentic RAG introduces an additional decision-making layer:
Understand → Plan → Retrieve → Analyse → Respond
This allows the AI assistant to determine how a request should be handled before retrieving information.
For example, one question may require information from internal documentation, while another may require CRM data. A more complex request may require context from both.
Instead of requiring the employee to determine which system should be searched first, the agentic layer manages that process within the AI workflow.
Agentic RAG and Multi-Source Knowledge Retrieval
At the core of the solution is context-aware query handling.
When a user submits a question, the assistant interprets the request and determines which connected source or combination of sources is relevant.
The Agentic RAG workflow enables the system to:
understand the intent behind the request
determine what information is required
select the appropriate enterprise data source
retrieve relevant context
analyse information from one or multiple sources
generate a response based on the retrieved business context
This makes the assistant more capable than a conventional document chatbot built around a single knowledge base.
Employees can ask questions naturally without needing to know where the information is stored, which repository contains it or what search terminology is required.
For requests involving several types of information, the assistant can bring relevant context together before producing its response.
CRM-Integrated AI Assistant
KONZE integrated the Agentic AI Knowledge Assistant with the organisation’s custom CRM, extending the solution beyond document-based enterprise knowledge management.
The assistant can use relevant CRM information when responding to queries involving specific leads or business records.
This creates a practical connection between structured operational data and organisational knowledge.
A query can therefore combine:
User Request + Enterprise Knowledge + CRM Context → Contextual Response
Rather than manually checking CRM records and then searching internal documentation separately, employees can access relevant information through one conversational experience.
This makes the solution applicable to real operational questions rather than limiting it to general policy or document search.
The integration also demonstrates how enterprise AI solutions can connect existing business systems instead of requiring organisations to replace them.
Microsoft Teams Integration
KONZE integrated the AI knowledge assistant directly into Microsoft Teams, placing enterprise intelligence inside a collaboration environment employees already use.
Users can ask questions conversationally within Teams while the assistant handles the retrieval and information-routing process behind the interface.
This reduces the need to switch between applications, manually search repositories or navigate separate AI tools.
From an adoption perspective, the Microsoft Teams integration was an important part of the solution architecture. The objective was not simply to build a capable AI assistant, but to make that capability accessible within an existing employee workflow.
KONZE therefore combined Agentic RAG, enterprise knowledge retrieval, CRM connectivity and Microsoft Teams into a unified enterprise AI assistant experience.
How the Agentic RAG Workflow Works
The solution follows a five-stage process:
Understand
The assistant interprets the user’s request and determines the intent and information requirement.
Plan
The Agentic AI layer decides which connected source or retrieval path is appropriate.
Retrieve
Relevant information is retrieved from enterprise knowledge sources, CRM data or multiple connected systems.
Analyse
The retrieved context is evaluated and combined where necessary to support the request.
Respond
The assistant generates a contextual response through the Microsoft Teams interface.
This architecture allows different types of enterprise questions to follow different information paths rather than forcing every request through an identical search workflow.
Business Value
The Agentic RAG AI Knowledge Assistant gives employees a simpler way to access information distributed across enterprise systems.
Instead of beginning with a repository, CRM screen or search box, users can begin with the business question itself.
The assistant determines where relevant information is likely to exist and manages the retrieval process behind the conversation.
For organisations, this creates several practical benefits.
Employees can access enterprise knowledge without needing detailed knowledge of repository structures or document locations. CRM information can be incorporated into the same AI workflow when business-specific context is required.
Self-service access to organisational information can also reduce repetitive internal requests that would otherwise need to be answered manually by subject-matter experts or support teams.
Microsoft Teams integration further reduces adoption friction by making the AI assistant available inside an existing workplace application rather than introducing another standalone platform.
Most importantly, Agentic RAG provides a framework for handling enterprise questions that do not always have a single information source or predictable retrieval path.
Building Enterprise AI Around Existing Systems
This project demonstrates KONZE’s ability to design enterprise AI solutions that operate across existing business infrastructure.
KONZE combined:
Agentic AI + RAG + Enterprise Knowledge + CRM + Microsoft Teams
into a production-focused AI knowledge assistant designed around real employee workflows.
The value of the solution is not simply that employees can ask an AI assistant questions. It is that the assistant can determine what information is required, retrieve context from the appropriate business systems and bring that information together through a familiar interface.
For organisations exploring Agentic RAG, enterprise knowledge management, AI-powered enterprise search or CRM-integrated AI assistants, the project demonstrates how KONZE can combine AI engineering, system integration and product development to turn distributed enterprise information into a more accessible business capability.
